How to use the Content Calendar Builder

  1. Set the start date and time. The calendar covers 28 days from the start date you choose.
  2. Choose posts per week for each network. Enter a number from 0 to 14. Posts are spread across the week and staggered between networks.
  3. List your content themes. One per line. Themes rotate across the posts so every network cycles through all of them.
  4. Export. Download a CSV for a spreadsheet or an .ics file for any calendar app, or schedule the posts in TimeToPost.

How the content calendar builder works

Method

For a network with n posts per week, the tool places posts on days at positions 0, 7/n, 2 × 7/n and so on, rounded down, then shifts the pattern by one day for each additional network. It repeats the pattern for four weeks from your start date. Themes are assigned in order per network, starting one step later for each network, so the same day does not repeat the same theme across networks.

Using the calendar

Treat each row as a deadline for a finished post. Write the caption and prepare the media a day or two ahead, then queue it. The CSV has a Status column so a team can mark rows Planned, Drafted, Approved and Scheduled.

Limits

The builder makes a layout, not content. It does not know your audience, holidays or launches, so move rows where your plan needs it. It covers the networks listed on this page.

Frequently asked questions

How are the posting days chosen?

For each network the days are spread as evenly as possible across the week, for example Monday, Wednesday and Friday for three posts. Each network starts on a different day so they do not all land together. The days are a starting layout, not a claim about your best times.

How do I find the best time for my audience?

Use your own analytics first. The Best Time to Post Calculator and the best time guides give a starting point, and a connected TimeToPost account computes times from your audience.

What does the .ics file contain?

One 30 minute event per planned post, named with the network and the theme, at the time you set. The events use your calendar's local time, so they open at the same clock time wherever you import them.

Can I edit the calendar after downloading?

Yes. The CSV opens in any spreadsheet with a status column, and calendar apps let you move or rename events. You can also change the inputs here and download again.

How many posts per week should I plan?

Plan the number you can keep up for four weeks. A smaller cadence you finish beats a bigger one you drop. Start low and raise it once the first month is done.

Is this a template I can reuse?

Yes. Change the start date and run it again each month. Your inputs are not stored or uploaded.
